Prom bookings move fast and cancellation windows are strict—read the deposit and refund terms before any student sends money, then put those dates on a shared parent calendar.
What a typical prom deposit covers
Many operators take 25–50% to reserve a peak spring date, with the balance due one to two weeks before prom. The deposit holds a vehicle class and hours—not unlimited itinerary changes.
Ask whether the deposit is cashable immediately and which card or payment methods appear on the receipt. Keep the confirmation email in a shared folder with the rider list.
Cancellation windows that matter
Peak prom Saturdays often become non-refundable inside 14–30 days. Some contracts shorten that window further. If your school might move the dance date, ask about date-change fees before you sign.
Document any verbal flexibility in writing. “We’ll take care of you” is not a policy—an amended contract line is.
Collecting student money without chaos
Have one parent treasurer collect each student’s share of the deposit and balance using the all-in quote. Issue a simple roster showing who has paid so the group is not short on balance-due day.
Decide in advance what happens if a student drops out: whether the remaining riders absorb the cost or the departing student forfeits their share after the company’s cancellation deadline.
School changes, illness, and weather
Ask how the company handles venue relocations, severe weather, or school-mandated date shifts. Some allow one free date change inside a window; others only offer credit.
Force majeure language varies. Do not assume a thunderstorm or a venue power outage automatically refunds a Saturday prom package—get the rule in the contract.
Damage holds and cleanup fees
Clarify whether a damage authorization is a temporary hold or a separate fee. Alcohol-free prom contracts still often charge for spills, broken fixtures, or glitter cleanup.
Walk the bus with the driver at pickup if allowed, and report existing wear. That five-minute step prevents end-of-night disputes when parents are tired and students are celebrating.
